PRIVACY POLICY FOR RECRUITMENT

When you send us a job application, it is important that you familiarise yourself with our policy for processing of your personal data. This applies regardless of whether you send us an unsolicited application or an application based on a job advertisement.

Our processing of personal data and contact details

The personal data you provide in connection with the submission of your job application or otherwise as part of a recruitment process will be used and stored only for the purpose of carrying out a recruitment process, as well as in connection with recruitment, if any.

Disclosure of personal data to third parties

Greenex does not use third parties in connection with its recruitment process.

Obtaining references and background checks

As we have a legitimate interest in finding the most suitable candidates for a job with us, we may obtain references from former employers, educational institutions or other relevant parties. Therefore, during or after the first interview,you may be asked to consent to our obtaining references which we may contact if we decide to move you to the next step in the recruitment process.

In certain situations, depending on the nature of the position, we will conduct a background check by seeking
information about you through publicly available sources such as LinkedIn, Facebook, Google, the CVR register etc., to the extent that we consider the information to be relevant to the performance of your job. We do this based on a legitimate interest in ensuring that we hire the best candidate – both professionally and from a personality perspective.

You have the right to know at the time of the job interview – and otherwise on request – which specific information we have collected about you.

Sensitive information

Period for storage of personal data

We will store your application and other information until we have assessed the application and, in case of a specific job advertisement, until we have completed and finalised the recruitment process; however, for a maximum period of six months. If you take up a position with us, your application will be stored during your employment relationship.

If you do not get the position, but we deem that a person with your qualifications may be needed within the foreseeable future, we may ask for your consent to store the application for longer than six months.

Amendments to the privacy policy

This privacy policy will be updated when necessary as a result of legislative and policy changes within the data
protection area.


PRIVACY POLICY FOR GREENEX A/S

This privacy policy describes how Greenex A/S (‘we/us’), CVR no. 20215674, Logistikvej 25 B, DK-5250 Odense SV, as the data controller collect and process your personal data when you are in contact with us, e.g. as a customer in a B2B context or as a business partner/supplier.

As a general rule, we only process ordinary personal data for specific business-related purposes and if we have a legitimate interest in doing so. We therefore only process personal data which are relevant and necessary for the purposes stated.

Processing of personal data

In accordance with the above, we may process the following personal data:

Ordinary personal data: Personal data which you choose to give us, including contact details, name, company address, telephone number, email address and job title.

Special categories of personal data: Generally, we do not process special categories of personal data.

Collection of personal data

We collect personal data directly from you. If you are a contact person or an employee of one of our suppliers or business partners, we collect your name, job title, telephone number, email address and other contact details when communicating with you or your employer.

Purpose of processing your personal data

The purpose of the processing of personal data is to:

1. Operate our business, including ensuring that we have the correct information about our customers and contact persons at our business partners,

Legal basis for the processing of personal data

The legal basis for processing your personal data is the performance of a contract, see Article 6(1)(b) of the General Data Protection Regulation and our legitimate interests in Article 6(1)(f) of the General Data Protection Regulation, unless the interests of the data subject or the fundamental rights and freedoms of the data subject which require protection of personal data take precedence over this.

We may also process personal data if necessary, for compliance with a legal obligation or if otherwise provided by legislation.

Disclosure of your personal data

We only disclose personal data where necessary, including to other business partners, suppliers and data processors which are authorised to assist in our ordinary operations. Personal data may be disclosed to public authorities if such exchange of data is required by law.

Storage and erasure of your personal data

We will store your personal data for as long as necessary, including for practical and administrative reasons in accordance with accounting legislation. As a general rule, we store your personal data as long as we have an active relationship with you and for five years thereafter. In special cases, we may, if necessary, process your personal data for Your rights a shorter or longer period of time, including in the event of a pending or potential legal dispute.

Your rights

We have implemented appropriate technical and organisational measures to protect your personal data and secure your rights as a data subject. You always have the right to request the exercise of one of the rights below. However, the possibility of granting your request may in some cases be limited, e.g. because certain conditions must be met or because a derogation from this applies.

  • the right to access the personal data we process about you,
  • the right to rectification of your personal data,
  • the right to erasure when certain conditions are met,
  • the right to restriction of the processing of your personal data,
  • the right to data portability, i.e. if certain conditions are met,
  • the right to object, as well as
  • the right not to be subject to a decision based solely on automated processing, including profiling.
